Your Buildium Archive

A private, permanent record of everything you had in Buildium

A simple web application, just for your company. We pull everything out of Buildium and load it into a secure Microsoft Azure database. You and your team log in with a password and can look up, filter and export any of it.

Read-only by design — a record, not a second system to maintain. Nothing to install, nothing to keep in sync, and no chance of anyone editing history by accident.

It is yours. And it gives you the foundation to run audits across both platforms later, if you ever need to.

If you ever stop paying, the archive is closed down and permanently deleted after 90 days. Nothing of yours sits on my systems indefinitely.

1099, Chart of Accounts & Owner Year End Statement

For mid-year conversions

Converting mid-year splits your 1099s and owner year-end statement across two systems. This ties them together so you produce full-year figures from one place — and maps your Buildium chart of accounts onto your RentVine one, so the two halves of the year actually add up.

What it needs from you: about three hours. Buildium and RentVine share no common ID, so the two have to be matched once — property to property, unit to unit, owner to owner, and GL account to GL account. I do the work and give you my proposed mapping; you review it, correct anything I have wrong, and sign off.

That is the only groundwork. Once agreed, the crosswalk is stored permanently and keyed to IDs — so you can rename or restructure afterwards and every future report still lines up.

Data Migration

Moving data INTO RentVine, not just archiving it

The archive keeps your history readable. This puts things back into RentVine so you are working from one system rather than two.

And the things that go wrong at cutover, which are usually nobody’s job until they bite:

  • Turning recurring charges off in Buildium so nothing double-bills
  • Auditing every recurring charge for accuracy before it carries over
  • Reading every lease and auditing your late-fee settings against it — I can do this while you are still on Buildium, and you keep the findings either way
  • Rebuilding those late-fee rules in RentVine to match the logic you have today
  • Renaming files to a naming convention you can actually search

The single biggest factor is whether your old system gives us API access — with it, most of this is automated; without it, it is done by hand. Let’s talk it through and I will scope it to what you actually need.

Everything is previewed before anything is written. You see exactly what will land in RentVine and approve it first. Nothing is pushed into your live books on trust.
